Serving the Counter, the Phone, and the Shop

A parts pro juggles three channels with different demands, usually at once, and the skill is triage — deciding who gets served first without dropping anyone. Get the triage wrong and you leave a tech idle, a phone customer hanging, or a harvest emergency waiting.

Read the urgency, not the order of arrival

First-come-first-served fails here. A farmer whose combine is down mid-harvest outranks someone browsing filters, and an internal tech blocked on a part is idle shop labor plus a delayed customer behind it. Triage by cost of the wait: who’s broken down, who’s blocking a job, who can wait a few minutes. Acknowledge everyone quickly even when you can’t serve them instantly — “be right with you” holds a customer; silence loses one.

The channels, and getting the part right

On the phone you can’t see the machine, so get the model and serial and verify the exact part before promising — a wrong number over the phone is a wasted trip and a burned customer. The shop’s back counter is the biggest account and deserves it; a tech waiting is the most expensive person standing around. At the counter, confirm the machine, verify against the catalog, and check for supersessions before handing anything over.

Every contact verifies the machine

The recurring failure is guessing the part from a description instead of pinning the exact machine (model and serial) and confirming in the catalog. Serial-break changes and supersessions mean the “same” part differs between two machines that look identical — verify, don’t assume.

Where it goes wrong

  • Serving in arrival order and leaving an emergency or an idle tech waiting.
  • Promising a phone part without confirming model, serial, and number.
  • Treating the shop’s back counter as lower priority than the retail counter.
  • Guessing a part from a description instead of verifying the machine.
